1. Information we collect
Information you provide directly
Account registration information: name, email address, phone number, flight school name and type, instructor names and certifications, aircraft information, course offerings and pricing, and payment information (credit card details processed securely via Stripe).
Demo account information: flight school FAQs and course descriptions, instructor profiles, student information (if you upload), and sample lead data (for testing).
Communications: emails, support requests, feedback, messages through live chat, and information in support tickets.
Flight school data you provide: student and prospect information (names, emails, phone numbers), lead conversations and inquiries, flight school policies and procedures, aircraft maintenance records, and instructor scheduling information.
Information collected automatically
- Usage data: IP address and device information, browser type and version, operating system, pages visited and time spent, links clicked, referral source, and login timestamps.
- Cookies and tracking technologies: persistent and session cookies, web beacons and pixels, local storage, and analytics data (via Google Analytics).
- Information from third parties: payment processors, analytics providers, CRM integrations, email service providers, and calendar integrations.
2. How we use your information
Service delivery: providing and maintaining the Platform, creating and managing your account, processing transactions and payments, delivering customer support, sending service-related announcements, and performing backup and security functions.
Product improvement: analyzing usage patterns, developing new features, improving functionality, conducting research, testing and troubleshooting, and detecting and preventing fraud.
Marketing and communications: sending newsletters and educational content, announcing new features or promotions, responding to inquiries, requesting feedback, conducting surveys, and sending transactional emails.
Legal and compliance: complying with legal obligations, protecting our legal rights, enforcing terms of service, preventing abuse and fraud, and responding to subpoenas or regulatory requirements (GDPR, CCPA, etc.).
3. Data sharing and disclosure
We share information with:
- Service providers: payment processors (Stripe, PayPal, Square), email providers (SendGrid, Mailchimp), analytics providers (Google Analytics), cloud hosting (AWS), CRM systems, support ticket systems, and calendar integrations.
- Third-party integrations: any tool you explicitly authorize, including Zapier and n8n workflows and API connections you configure.
- Business transfers: in case of merger, acquisition, bankruptcy, or sale of assets (we will notify you and provide the opportunity to opt out).
- Legal requirements: government agencies or law enforcement, court orders or subpoenas, and regulatory authorities as required by law.
We do NOT sell your data, share flight school data without your consent, use your data for purposes outside our service, share student/prospect data with competitors, or disclose passwords or sensitive credentials.
4. Data retention
- Account data: retained while your account is active; deleted within 30 days of termination; exportable before deletion.
- Demo account data: retained 30–60 days from creation and deleted automatically after expiration.
- Payment information: retained for 7 years for tax and accounting purposes; we do not store full credit card numbers.
- Backup data: retained for disaster recovery; deleted within 90 days of account termination.
5. Data security
Security measures we implement include:

Your responsibilities:keep your password secure, don't share login credentials, log out after each session, report suspicious activity, and maintain current contact and payment information.
6. International data transfers
GDPR compliance (European users)
If you are located in the EU, UK, or Switzerland, our legal bases for processing include contract performance, legitimate interests, consent (for marketing), and legal compliance. You have the right to access, correct, delete, restrict, port, and object to processing of your data, to withdraw consent, and to lodge a complaint with a supervisory authority. CCPA compliance (California users)
If you are a California resident, you have the right to know what personal information is collected, whether it is sold or disclosed, to delete it, to opt out of any sale, and to non-discrimination for exercising these rights. We do not sell personal information. To exercise rights, email privacy@mail.smartflighschoolpro.info. We respond within 45 days (extendable 45 days for complex requests).
7. Your choices and controls
- Email communications: unsubscribe from marketing emails via the footer link or adjust notification settings. Transactional emails cannot be disabled.
- Cookies and tracking:adjust browser cookie settings, use “Do Not Track,” or clear cookies (this may limit functionality).
- Account controls: download your data, export flight school data, deactivate or delete your account, and update personal information.
8. Third-party links and services
Our Platform may contain links to third-party websites and services we do not operate. This Privacy Policy does not apply to them, and we are not responsible for their privacy practices. We recommend reviewing their policies independently.
9. Children's privacy
SmartFlightSchoolPro is not intended for users under 18 years old. We do not knowingly collect personal information from children. If we become aware that we have, we will delete it immediately. Contact privacy@mail.smartflighschoolpro.info with concerns.
10. Changes to this Privacy Policy
We may update this Privacy Policy periodically. We will notify you of material changes by updating the “Last Updated” date, posting a prominent notice, and sending an email notification. Continued use after changes indicates acceptance.
